Invoice translation

An invoice records a particular supply or service and connects the issuer, recipient, date, subject and value of a transaction. For international use, its translation must remain unambiguous to an accountant, bank, customs authority, auditor, court or business partner.

Translation may be needed for foreign purchases and sales, proof of an expense or payment, tax recovery, imports and exports, a procurement procedure, an insurance claim or a contractual dispute. The purpose determines the target language, delivery format and whether certification is added to the language service.

The work may cover a standard tax or commercial invoice, pro forma invoice, credit or debit note, recurring invoice, or an invoice for services, transport, education, medical treatment or an asset purchase. Figures and codes are not converted by assumption; they are checked line by line against the source.

A standard translation suits internal business use and recipients that do not require certification. A certified translation adds the applicable statement or attestation for the translation, while notarisation, Apostille and legalisation are separate procedures concerning the origin of the document or its signatures.

Not every invoice can or needs to receive an Apostille because an invoice is normally a private commercial record. The appropriate form depends on the country, issuer and explicit requirement of the receiving bank, customs office, court, tax authority or other organisation.
